SmartFax · Early access

Your fax inbox, finished.

SmartFax reads every fax the second it lands, creates the chart, checks eligibility, triages, and schedules the patient. Emma does the rest.

One referral. Friday, 4:47 PM. Six minutes.

Your fax inbox was never a filing problem.

It's a to-do list nobody had time to finish.

A referral lands at 4:47 on a Friday. In most practices, nothing happens until Monday.

Someone reads it, types it in, and marks it urgent. Like the forty before it.

The office calls on Tuesday, leaves a voicemail, and hopes the patient doesn’t disappear.

Same fax. Now somebody finishes it.

Here's what happens to a referral in the six minutes after it arrives.

01

Reads it the second it lands

Not the words. What it means. Referral, records request, prior auth, pre-op clearance, post-op report.

02

Creates the chart

No chart? Emma builds one. Demographics, referring provider, reason for visit, with the fax attached and tagged.

03

Checks eligibility

Active coverage, copay, and whether a plan referral is needed, before anyone picks up the phone.

04

Triages to the right template

Flashes and floaters isn’t routine. Emma reads the urgency and books into the right provider’s urgent slots.

05

Reaches the patient

A text with a link that already knows the visit, location, and doctor. No reply? Emma calls. That’s what she does all day.

06

Closes the loop

The referring doctor gets a confirmation before leaving the office. Nobody at your practice touched it.

Six minutes. Nobody at the practice touched it.

Frequently Asked Questions

What is SmartFax?

SmartFax is a FlowHealth product that reads every incoming fax, understands what it is asking for, and does the work: creating or updating the chart, checking eligibility, triaging urgency, scheduling the patient, and reaching out by text and phone. It is run by Emma, the same AI agent that answers your phones.

What kinds of faxes does it handle?

Referrals, records requests, prior authorization approvals, pre-op clearances, post-op reports, and diabetic eye exam requests are the first workflows. Anything else is routed to your team with a summary attached.

Does it work with my EHR?

SmartFax is built on the same EHR integrations as the rest of FlowHealth, including Nextech, ModMed, athenahealth, NextGen, DrChrono, and Azalea. Tell us your EHR on the waitlist form and we’ll confirm support when we reach out.

When is it available?

SmartFax is rolling out to a small group of practices first. Joining the waitlist puts you in line for early access and a walkthrough with our team.

Is it HIPAA compliant?

Yes. SmartFax runs on the same HIPAA-compliant infrastructure as FlowHealth’s receptionist, outbound calling, and reminders.
